Web Design Project Description: Number of pages (approx): 75 pgs (estimated) of existing content and graphics. My Industry: advocate for solar and wind energy, biofuels, etc. A. Objective The ______ seeks a website development firm to transform the organizations website it into an attractive, dynamic and useful portal for educating and linking with the rapidly growing community of clean energy advocates, users and providers. The goal of this project is to rebuild ____.org to further position _____ as: the go-to organization in the Southeast for up-to-date and relevant clean energy information and tools for transforming worksites, campuses, neighborhoods and communities into clean energy showcases the most respected and effective authority in the region on the many advantages of clean energy and the critical problems associated with high-risk energy sources such as nuclear and coal The website re-design should support the organizations mission as a nonprofit, nonpartisan organization that promotes responsible energy choices that solve global warming problems and ensure clean, safe and healthy communities throughout the Southeast. B. Executive Summary The website redesign is a major component of the organizations re-brandin strategy focused around our highly topical and attractive URL. Early in 2008, the ____ logo was re-designed to emphasize the URL over the name of the organization. This brand design must be incorporated strategically within the new website. _____ will market its URL aggressively and creatively over the next 1-3 years, after our new site is successfully launched in the 3rd quarter of 2008. ____ does not currently have an IT position on its staff and there are no plans currently to create such a position. With this in mind, ____ is looking for a vendor who will recommend, and be able to deliver creative, and very cost-effective solutions (such as Google apps, widgets, etc) to meet the communications challenge set forth in this RFP. Ideally, we are looking for a vendor with whom we can have an ongoing working relationship to meet our longer term IT needs after the conclusion of this contract and the successful launch of our new site. (See Appendix III. E for sample of _____ long term IT needs) As a non-profit organization, ____ requires that the designer keep project costs as low as possible by leveraging, wherever possible, off-the-shelf coding, Web 2.0 applications and widgets. The core task of the designer will be to move the site to a CMS system and, within budget limits, to make the new site updateable and expandable by the client. Incorporating Flash technology in this redesign is generally discouraged for budgetary reasons, but not prohibited if the designer can employ it creatively within the approved project budget. _____ plans for the current project to be a total revamping of the site, using content and detailed site map provided up front by the client. Each page needs to be clean, clear, friendly, and professional. Most of the initial content for the new site will come from the current site. Through a new WYSIWYG-like CMS system that the designer will set up, ____ staff will be adding new content to the site on a regular basis to keep it fresh and compelling The new site must enable ____ staff to easily post content and links to offsite content. It must enable visitors to easily obtain information on its activities and outreach, and to make donations to the organization using our existing relationship with _____. The vast majority of content on the site should be accessible within 1 or 2 clicks from the homepage. A top priority is to transform the site from an information archive into a source for visitors to share ideas and solutions and interact with clean energy innovators, entrepreneurs and advocates across the region. ____ goal is to create a user-centric site experience. We want the new website to be organized so that users will have multiple routes for accessing much of the same data. We expect that space will be allotted on the home page for news, stats, announcements and other information that can be changed frequently. C. Specific Communications Goals for the New Site (in order of priority) 1.using search engine optimization, etc, leverage the new _____ site and its attractive URL to re-brand and further position _____ as the leading authority on the many advantages of clean energy and the critical problems of high risk energy, including nuclear and coal 2.create a site that will serve as _____ core tool for advocacy, public education, organizing, promotion and community-building 3.improve site maintenance to make it easier for ____ staff to post items and make updates, using a WYSIWYG-like system on the backend for maximum flexibility. 4.design and maintain site in a way that encourages a much wider range of key audience members and influencers to visit it and connect with it (and with each other) on a more regular basis 5.improve sites value as an information resource and an archive of print documents and a place to link to videos, podcasts, etc. 6.make site better able to serve the needs of members of the press with varying degrees of expertise in energy issues and point them to rich media in a variety of formats 7.use site to expand the reach and value of positive media coverage by giving visitors the means to find, view or listen to ____-related media articles, broadcast interviews, etc. 8.while we are not looking to set up chat rooms on the site, we are interested in exploring ways to use the site as a communication tool among and between ____ staff, board and program partners 9.manage a site that offers a user centric experience by making it a tool for accessing and using up-to-date information and ideas 10.use the site to inform visitors of clean energy-related news, events and community actions 11.provide visitors to the site with the means to make a difference by giving them multiple opportunities to log on to specific Calls to Action 12.provide visitors with links to targeted blogs and social networking sites (such as You Tube, MySpace, GoogleGroups, YahooGroups, etc) where ____ staff can post issue updates, videos, podcasts, comments, announcements, etc. 13.provide members and supporters with links to online registration tools and calendar management systems to host their own clean energy events, house parties, teach-ins, etc. 14.better leverage site to help increase membership and serve as a more valuable resource for members 15.work in concert with email campaigns to provide additional information, dynamic content, and functionality by integrating with web analytics such as Omniture, CoreMetrics, etc. and/or partnering with an ESP such as Silverpop III. PROJECT SCOPE OF WORK and FUNCTIONAL REQUIREMENTS FOR NEW SITE A. Scope of Work NOTE ON BUDGET ALLOCATION: In addition to needing to create a new website from scratch, ____ is also seeking a contract relationship with a company or consultant who will assist with ongoing maintenance of the new site. The budget listed in this RFP is intended to cover the design, development and launch of the new site. The budget associated with the following scope of work is not intended to cover ongoing maintenance. The website developer shall: 1.conduct information gathering sessions with the Communications Director and other staff on the ____ Website Redesign Committee and offer creative suggestions related to functionality, navigation and design 2.become familiar enough with the current site and the organizations mission to be able to provide general suggestions as to content organization NOTE: The vendor should be assured that all content is expressly the final responsibility of the client which will generate all site content and provide the vendor a detailed site map for the new site at the beginning of the project. Site Map of current site available upon request. 3.create a comprehensive design solution that ensures easy navigation of the website for a wide variety of audiences including, but not limited to, interested citizens, staff at partner organizations, community organizers, college students and faculty, elected officials and their staff, clean energy hardware and service providers, large employers, small business owners and other members of the business community, farmers and fishermen in the region, prospective interns and job applicants, etc. 4.incorporate much of the content of the present website into the new design 5.create backend system enabling staff to use WYSIWYG-like system to update the website content 6.be prepared to train selected ____ employees to use new updating method 7.provide written or electronic instructions for post-training reference by those utilizing the website developers chosen method of content management 8.create a website with pages that download in 3 seconds on average when accessed by a standard cable modem. 9.make the online system accessible via popular browsers such as Microsofts Internet Explorer 7, Firefox, Safari, etc. 10.offer suggestions on search engine optimization for the site and register the site with major search engines 11.build in the ability to automatically tabulate the number of visitors per day to the website as well as the number of hits per day for the sites various components in a manner that makes this data easily available to ____ 12.perform thorough testing of the website for technical quality 13.describe and deploy security measures used during development and assist the ____ Communications Director in the development of a privacy and security policy as it relates to the website. 14.provide ____ ownership of all source code, executable code, and files used in the website and domain 15.ensure that any 3rd party software is legally licensed
